    Don't reply within the hour if the review stings. Reread it a few hours later and separate the facts (cold dish, 40-minute wait, invoice) from the feelings ("disgraceful", "never again"). You reply to the facts, with consideration for the feelings.

    Look at the rota, the till, the booking book or the appointment history. Talk to whoever was on shift. A reply based on checked facts avoids apologising for a mistake that didn't happen, or denying one that did.

Responding to a Defamatory or Abusive Review

A review that accuses you of a specific, serious act (theft, fraud, deliberate food poisoning) or contains insults is not handled like criticism. The public reply stays short, doesn't repeat the accusations and doesn't threaten, then you report the review and keep evidence.

Under French law, defamation means asserting a fact or accusing a person of a fact that damages their honour or reputation. The deadline to file a complaint is 3 months from the offence, and public defamation is punishable by a fine of up to €12,000 in the general case (Service-Public page on defamation, in French). Harsh criticism of your service, even unfair, generally does not amount to defamation.

Responding to a Fake Negative Review

A fake review is rarely spotted from a single clue, but from a combination: no record of the visit, a recently created profile with no other activity, a description that could apply to any business, a series of similar reviews within a few days. Mistakes That Make a Negative Review Worse

Some replies do more damage than the review itself, because they show future customers how you treat an unhappy customer. These are the most common.

  • Replying in the heat of the moment. Irritation shows in every phrase, even polite ones.
  • Flat denial. "That's false" with nothing else looks arrogant.
  • Revealing information about the customer. Their history, order or missed appointments: never in public.
  • Threatening legal action. Even with a defamatory review, a public threat backfires.
