A one star review lands on Friday at 9 pm. You read it Saturday morning between customers, think about it all weekend and reply on Tuesday. For those four days, everyone who looked at your profile saw the criticism without your side of the story.

Respond to a negative or mixed review within 24 hours, and to a positive review within 48 hours to a few days. No Google rule sets a deadline, but Google advises responding promptly, especially to negative reviews. On its side, Google can take from 10 minutes to 30 days to show your reply: post it once, then check.

Why speed matters most for negative reviews

Response speed matters because the reply is written first for the people reading the review right now, not for its author. A recent negative review appears at the top as soon as a reader sorts reviews by newest, and hesitant customers often do.

Google says so in its tips for replying to reviews: when handling negative reviews, respond promptly to show you value the customer's feedback. The same page suggests focusing on reviews where you can share a helpful update or answer a question, which makes priorities clear: speed matters most on criticism.

Three concrete effects of a quick reply:

  • Prospects see both sides at once. A complaint with a calm reply reassures more than a complaint alone.
  • The customer is still reachable. The author is notified of your reply. Two days after the visit, they remember the details and are more open to a conversation.
  • The tone stays measured. Replying quickly does not mean replying in anger: a few hours are enough to reread with a cool head.

Target response time by review type

The right timing depends on the rating and the content: the more negative or sensitive the review, the more urgent the reply. Use this table as the reference in your response policy.

Abusive or fake reviewReport within 24 hoursReply after reviewDo not reply in anger

Any review involving health, safety, an allergy or a dispute follows the "1 star" row whatever its rating. The full structure of these replies is covered in our guide on replying to a negative Google review.

Calendar traps: weekends, holidays, peak season

Most missed response times do not come from lack of will, but from moments when nobody is scheduled to reply. Three situations come up in almost every business.

Weekends. That is when many restaurants, salons and shops open on Saturday get their reviews. Plan a ten-minute check on Sunday evening or Monday morning at the latest, at least for 1 to 3 star reviews.

Holidays. Assign someone to read reviews while you are closed, or accept replying when you are back, but never leave a negative review unanswered for three weeks.

Peak season. Review volume rises exactly when available time drops. Response templates and an AI copilot make all the difference here.

How long Google takes to show a reply or a review

Timing does not depend only on you: Google checks replies and reviews before showing them, which explains why a posted reply does not always appear immediately. This review time is normal.

For your reply. Replies usually take up to 10 minutes to review, but sometimes up to 30 days, according to Google Business Profile Help. Do not post the same reply several times: wait, then check your profile. You can edit or delete it afterwards.

For a customer's review. Google checks reviews to ensure they comply with its policies, and this process might take a few days, delaying when a review appears. The page about missing or delayed reviews also mentions recently merged profiles, outdated apps and reviews removed for policy violations, which are not restored.

For a report. Reviewing a reported review usually takes several days, and the review management tool lets you appeal a refusal for up to 10 reviews, according to the page on how to report an inappropriate review.

Two examples: quick reply and catch-up reply

The wording changes slightly depending on whether you reply the same day or weeks later. Here are two sample replies to adapt to your business.

Reply within 24 hours to a 1 star review posted on Saturday:

"Hello Sophie, thank you for taking the time to write to us. Waiting 40 minutes at Saturday lunch without any explanation is not the welcome we want to offer. We are reviewing how that shift is organized. Could you contact us at the number on our profile? We would like to talk it through with you. Thomas, manager"

Catch-up reply to a 2 star review from three months ago:

"Hello Marc, thank you for this feedback, and sorry for our late reply. The booking problem you describe has since been fixed: we now confirm every appointment by text message. We would be glad to welcome you again. Julie, [Business name]"

Replying late to an old review: yes, but carefully

Replying to a review left unanswered for months is still useful, especially if it is negative: readers see your reply, rarely its date. Catching up follows a simple order of priority.

  1. Negative and mixed reviews from the last twelve months. These are the ones prospects still read.
  2. Recent positive reviews with a comment. A short reply that picks up a detail.
  3. Old star-only ratings. Optional, and never with the same line pasted in bulk.

On an old review, open with a simple sentence ("Thank you for this feedback, and sorry for our late reply") without dwelling on it, then address the substance. Twenty replies on the same evening look like a catch-up campaign: spread the backlog over a few weeks. If you are unsure which reviews really deserve a reply, our article on whether you should respond to all reviews settles the edge cases.

A routine that meets response times

Keeping to 24 hours on negative reviews takes light but regular organization, not hours of work. Four settings are enough for most businesses.

  1. Turn on alerts. Every new review should reach your phone, not be discovered by chance when you open your profile.
  2. Block time slots. Ten minutes two or three times a week, plus a quick check the day after each negative review.
  3. Write a policy. Tone, sign-off, forbidden topics and response times: our review response policy includes a template to copy. Add our Google review response templates.
  4. Get the draft prepared. An AI copilot writes, you review and publish.

Response time is also a metric to track as part of your Google review management, alongside rating and review volume.

Frequently asked questions

How long should you take to respond to a Google review?

Aim for 24 hours for a 1 to 3 star review and 48 hours to a few days for a positive one. No Google rule sets a deadline, but Google advises responding promptly, especially to negative reviews. After a week, the criticism stands alone while potential customers read it and choose another business.

How long does Google take to publish my reply to a review?

According to Google Business Profile Help, replies usually take up to 10 minutes to review, but sometimes up to 30 days. If your reply does not appear right away, do not post it several times: check your profile later, then edit it if it breaks a rule, for example by including personal information.

Why doesn't a customer's Google review appear?

Google checks reviews to make sure they comply with its policies, and this process might take a few days, delaying when a review appears. A review can also be missing after profiles are merged, because of an outdated app, or because it was removed for breaking the rules. In that last case, it will not be restored.

Should you reply to an old Google review that never got a response?

Yes for negative and mixed reviews, even months later: readers see the reply, rarely its date. Start with a brief word about the delay, without a long apology, then address the substance. For old star-only positive ratings, catching up is optional; prioritize commented reviews from recent months.

How can you meet response times when you are short on time?

Turn on new review notifications, block two or three short slots a week, use a response policy and templates so you never start from a blank page, and let an AI tool draft the first version in copilot mode. You still review, especially negative reviews, but writing takes only moments.
